This guide will walk you through the process of sharing a Microsoft Teams meeting recording with a specific user by managing permissions through OneDrive. Follow these steps to grant access and enable download capabilities.

1 Find the Recording in OneDrive

After your meeting ends, locate your recording by following these steps:

  • Go to your Microsoft 365 portal (click "Apps" at https://office.com)
  • Open OneDrive and navigate to the "Recordings" folder (typically in your root directory)

2 Select the Recording File

  • Locate the relevant recording file (usually named with the meeting title and date)

3 Share the Recording with a Specific User

  • Right-click the recording file and select "Share"
  • In the sharing window, select "Specific people" under Who would you like this link to work for?
  • Enter the email address of the user you want to give access to
  • Ensure the permission setting is set to "Can edit"
  • Click on Settings (gear icon) and confirm that "Allow download" is enabled

4 Send the Link

  • Click Send or copy the link and manually share it with the selected user via email, Teams, or chat

5 Recipient Downloads the Recording

  • The recipient clicks the shared link and signs in to Microsoft 365 if prompted
  • They can then click "Download" to save the meeting recording (MP4 file) locally

Tips and Reminders

  • Only the meeting organizer or host can access and share the recording from OneDrive
  • If the recipient cannot download, double-check that "Block download" is NOT enabled in sharing settings
  • The recipient must have an account associated with the shared email address to access the file
